Administrative Coordinator

 

The Delaware Center for Horticulture seeks a welcoming, customer-service oriented administrative professional to provide administrative support across a variety of functions and departments. The Administrative Coordinator is a full-time, non-exempt (hourly) position reporting to the Executive Director. The Administrative Coordinator is responsible for a variety of financial and office administrative tasks while providing front desk reception during business hours. The Administrative Coordinator supports other staff in coordinating a broad range of financial, administrative, and customer services to ensure the smooth professional administrative functions of the organization.

 

Key responsibilities include providing front desk reception and general administrative support for daily operations (answering phone, greeting visitors, answering questions, fielding general inquiries); financial and business administration (handling of mail, financial documentation, staff distribution of invoices/bills, copying and filing of financial documents); data support (basic administrative support for the organization’s fundraising department, including generating thank-you letters from various templates, assisting with membership renewal processing, data entry using spreadsheets and/or database); human resources (support for administering and processing of bi-weekly payroll, administrative functions of hiring and onboarding/orientation procedures); Executive Director and Board support (administrative support, meeting support (scheduling, minutes, distribution, etc.), and providing administrative support for accounting processes and procedures.

Job Requirements: 
  • Customer service experience and helpful, cordial approach to welcoming and assisting visitors, guests, clients and phone inquiries.
  • Utmost ethical standards, especially related to confidentiality and handling of mail, donor records, financial transactions, and personal information.
  • Experience and time management skills to expertly handle a variety of administrative tasks listed above.
  • Basic computer skills including MS Office suite; experience with database entry and attention to detailed processes and procedures.
  • Associate degree preferred; high school diploma or equivalent (GED) required.
  • An appreciation of the organization’s mission and work we do.
